Privacy Policy

Cognalinx ("Cognalinx," "we," "us," or "our") provides a sales-coaching application and the cognalinx.com website (together, the "Service"). This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have.

By using the Service, you agree to the collection and use of information in accordance with this Policy.

1. Information We Collect

We collect the following categories of information:

  • Account information — your name and email address, provided directly or through Google Sign-In.
  • Google Calendar data (only if you connect it) — your event details, used to show upcoming meetings, prefill call context, and, if you enable it, log your calls back to your calendar.
  • Call audio and transcripts — when you run a coaching session, we capture and process audio from your calls into transcripts.
  • Coaching and usage data — the guidance, reviews, and analytics generated from your sessions, and any documents you upload.
  • Billing information — handled by our payment processor; we do not store full payment-card numbers.
  • Device and log data — standard technical information such as app version, device type, and diagnostics.
  • Website data — standard analytics and cookies when you visit our website.

2. How We Use Your Information

We use this information to:

  • Provide, operate, and secure the Service.
  • Process your subscription and billing.
  • Provide support and respond to your requests.
  • Improve and develop the Service.
  • Prevent fraud and abuse, and comply with our legal obligations.

3. Google User Data & Limited Use

Cognalinx's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. That policy is available at https://developers.google.com/terms/api-services-user-data-policy.

We request access to your Google Calendar (the calendar.events scope) solely to: (a) read your events so we can show upcoming meetings and prefill call context inside the app; and (b) where you enable it, create or update events to log your Cognalinx calls.

We do not use Google user data for advertising. We do not sell it, and we do not transfer it to others except: (i) as necessary to provide or improve user-facing features that are prominent in the application; (ii) for security purposes, such as investigating abuse; (iii) to comply with applicable law; or (iv) as part of a merger or acquisition, with continued protection under this Policy. We do not use Google user data to train generalized or foundation AI models. Humans do not read your Google data except with your consent, for the limited purposes above, or where the data has been aggregated or anonymized.

We store your Google Calendar data in our own database and use it only for the purposes described above. If you start a Cognalinx call from a calendar event, details you choose to use (such as a prospect’s name or company) may become part of that call’s context. When you disconnect Google Calendar or revoke access, we delete the calendar events we cached and the Google credentials we stored for you, except where limited records must be retained to comply with law.

You can revoke Cognalinx’s access at any time from your Google Account permissions at https://myaccount.google.com/permissions, or by disconnecting the calendar in the app’s Settings.

4. How We Share Information

We do not sell your personal information. We share information with service providers who process it on our behalf, under contract, only to deliver the Service. These include:

  • Cloud hosting, database, and storage providers — to run the Service and store your data.
  • Transcription and AI-processing providers — to turn your call audio into transcripts and generate coaching and reviews.
  • A payment processor — to handle subscriptions and billing.
  • Google — for Google Calendar integration and Google Sign-In.
  • Analytics and advertising providers — for our website only; this is never applied to your call content or Google Calendar data.

5. Legal & Other Disclosures

We may also disclose information to comply with law or valid legal process, to enforce our agreements, to protect the rights, property, or safety of Cognalinx, our users, or others, or in connection with a business sale or merger (with notice).

6. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service, and for limited periods afterward where required by law. You can delete sessions or request deletion of your account, and disconnecting Google Calendar deletes the calendar data we cached.

7. Security

We use industry-standard measures, including encryption in transit and at rest and access controls, to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights & Choices

  • Access, correct, export, or delete your data by contacting support@cognalinx.com or using in-app controls.
  • Disconnect Google Calendar and revoke Google access at any time.
  • Depending on where you live, you may have additional rights under laws such as the GDPR (EEA/UK), the CCPA/CPRA (California), and Canadian privacy laws (PIPEDA and applicable provincial laws) — including rights to access, correct, delete, or restrict use of your information, to withdraw consent, and to complain to your data-protection authority. We do not sell or "share" personal information as those laws define it.

9. International Transfers

We and our service providers may process your information in countries other than your own, including the United States. Where required, we rely on appropriate safeguards for these transfers.

10. Recording & Consent

You are responsible for complying with all laws that apply to recording conversations, including obtaining any consent required from the other participants on your calls. Please review our Terms of Service for more detail.

11. Children's Privacy

The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us and we will delete it.

12. Changes to This Policy

We may update this Policy from time to time. We will post the updated version with a revised "Last updated" date and, for material changes, provide additional notice.
